Terms and Conditions
1. Agreement
By booking catering services with HARD HAT CATERING BELFAST LTD, you (“Client”) agree to these Terms and Conditions. A binding contract is formed when we issue a written confirmation (email or post) and receive your deposit.
2. Booking Requirements
- To secure a booking, the Client must provide:

- Event date, time, and location (including access details for delivery/staff).

- Estimated guest count (final numbers due 7 days before the event).

- Menu selections and dietary requirements (finalized 14 days before the event).
- We reserve the right to decline bookings if the event location is unsafe or inaccessible.
3. Pricing and Payments
- Quotes: Prices are based on guest count, menu choices, and service level (e.g., staffed vs. drop-off). Quotes are valid for 30 days.
- Deposit: A 25% deposit of the total quote is required to confirm the booking (non-refundable except as per clause 5).
- Final Payment: The remaining balance is due 7 days before the event. Late payments may result in service cancellation.
- Additional Costs: Extra guests (beyond the confirmed count) will be charged at the agreed per-person rate. Last-minute menu changes (less than 14 days prior) may incur a £50–£150 fee.
4. Menu Changes and Dietary Requirements
- Menu adjustments must be requested in writing at least 14 days before the event. We cannot guarantee changes made after this deadline.
- The Client must provide full details of dietary restrictions (allergies, vegan/vegetarian requirements) at booking. We will make reasonable efforts to accommodate these but cannot eliminate cross-contamination risks entirely.
5. Cancellations and Postponements
- Client Cancellations:

- 30+ days before the event: Deposit refunded minus a £50 admin fee.

- 14–29 days before: 50% of the total quote is payable.

- <14 days before: 100% of the total quote is payable.
- Postponements: Permitted once, subject to availability, with a £50 rescheduling fee. New dates must be within 6 months of the original event.
- Our Cancellations: We may cancel due to extreme circumstances (e.g., staff illness, supplier failure). In such cases, all payments will be refunded, and we will assist in finding alternative caterers where possible.
6. Service Delivery
- We will deliver/serve food at the agreed time. The Client must ensure:

- Access to the event location (parking, elevators, etc.) for our staff/vehicles.

- Suitable facilities (power, water, shelter) if on-site preparation is required.
- Delays due to Client negligence (e.g., locked gates, missing contact person) may result in additional charges (£25/hour after the first 30 minutes).
7. Liability
- We accept liability for proven food safety issues caused by our negligence (e.g., food poisoning from contaminated ingredients) up to £10,000.
- We are not liable for:

- Guest illness due to undisclosed allergies or dietary non-compliance.

- Loss or damage to Client property (e.g., utensils, decor) unless caused by our staff.

- Event disruption due to circumstances beyond our control (e.g., extreme weather, accidents).
- Our total liability for any claim shall not exceed the total amount paid for the service.
8. Indemnity
The Client agrees to indemnify us against claims, losses, or damages arising from:
- Guest behavior (e.g., injury from overconsumption).
- Unauthorized changes to event details (e.g., location changes without notice).
- Breach of these Terms by the Client.
9. Governing Law
These Terms are governed by Northern Irish law. Disputes will be resolved through mediation; if unresolved, they will be referred to the courts of Northern Ireland.
10. Amendments
We may update these Terms, with changes applying to new bookings. Clients will be notified of material changes via email.
